Spring 2026 Closing Information

The Office of Housing and Residence Life thanks you for staying with us during the 2025-2026 academic year and wishes you a safe and enjoyable summer! All residential students are expected to depart campus within 24 hours after their last final.

As finals end on May 8, 2026, all resident students should plan to vacate their on-campus and Spelman-sponsored residence by May 9, 2026, by 12 p.m., unless they have received approval from the Office of Housing and Residence Life to stay late.

For students approved to stay late, all campus and Spelman-sponsored residence halls will close no later than 12 p.m. on May 18, 2026 (this includes commencement participants and graduates).

General Residence Hall Departure Instructions

  • Pro Tip 1: If you haven't already, contact your instructors to learn your finals schedule.
  • Pro Tip 2: Begin packing your items as soon as possible. If needed, family/visitors can assist residents with packing during visitation hours. Once visitation ends on April 29, no one will be allowed into the halls to assist residents with packing. Please plan accordingly.
  • Pro Tip 3: If prior to May 9 and May 18, you plan to use a moving company to store items for the summer or ship your belongings, residents must notify their Resident Director at least 48 hours in advance by email of the date and time the company will pick up the resident’s items. Please note that residents must always escort the moving company in and out of the residence hall.

Residence Hall Closing: Check-Out Procedures
All residents are required to complete a checkout with their RA before leaving for the summer.

Step 1: Sign Up for a Checkout Time
• Your RA will post a checkout sign-up sheet outside their room door by April 29
• Select a date and time that works for you
• Be sure to write your name and room number clearly

Step 2: Prepare Your Room
Before your scheduled checkout with an RA, make sure:
• All personal belongings have been removed from the room
• Trash is taken out and disposed of properly in designated receptacles
• Room is cleaned (floors, surfaces, bathroom if applicable)
• Furniture is returned to its original setup

Cleaning Tips
To avoid delays or damage charges, please ensure:
• Wipe down all surfaces (desk, dresser, etc.)
• Sweep or vacuum floors, including under furniture and beds
• Check drawers, closets, and under the bed for forgotten items
• Clean inside refrigerators and microwaves if used
• Remove all trash, food, and perishable items immediately
• Clean shared bathrooms (sink, toilet, shower, mirror) if applicable
• Do a final walkthrough of your space before your RA arrives

Step 3: Meet Your RA
• Be present in your room for your scheduled checkout
• The RA will inspect your room (approximately 10 minutes)
• Any damage or concerns will be documented for RD review

Step 4: Return Your Key(s)
• Give all key(s) and/or keycard (MJ) directly to your RA during checkout
• Do NOT leave without handing your key(s) to the RA

Step 5: Complete Checkout
• Review the Spring Closing Resident Check-Out form with your RA
• Sign acknowledgment statement
• Once complete, you are officially checked out

Important Reminders

  • Failure to schedule or attend your checkout may result in improper checkout fees.
  • Late or missed appointments may delay your departure process, as RAs will have a packed schedule.
  • You remain responsible for your room until checkout is completed.
  • Per Housing Lease: Students are responsible for removing all personal property prior to vacating. Any items left behind will be considered abandoned and discarded without reimbursement.
  • Check for any remaining mail and packages in the mail center.
  • Change your address with USPS and any frequently used vendors (if applicable).

Residential Move-out FAQs

  1. If I need a check-out time that’s not available on the sign-up sheet, what should I do?
    Please contact your Resident Director to discuss alternative arrangements.
  2. Can my family or visitors enter the residence hall after April 29 to help me pack?
    No. Anyone assisting with packing must do so during visitation hours, which end on April 29 at 11:45 p.m.
  3. When can I get assistance moving already-packed items out of the residence hall?
    Before April 29 at 11:45 p.m., assistance is allowed during visitation hours. After April 30, individuals may help move already-packed items between 9 a.m. and 9 p.m. Those assisting must be actively engaged in moving items out of the hall.

On May 9, your helpers may enter the residence hall as early as 6 a.m. to complete your move-out. All halls close at 12 p.m. that day. For additional information, please contact your Resident Director.
